The Role
We are seeking a proactive and highly organised Office & Operations Manager to oversee and manage both the operational and office-related functions of our company.
This dynamic role combines the management of day-to-day office operations with the coordination of key operational tasks, ensuring seamless delivery of our programmes and activities. You will be responsible for facilities management, coordinating resources, overseeing office supplies, and providing administrative support to ensure the smooth running of the office.
Additionally, you will manage IT requests, handle meeting room bookings, and play a key role in maintaining an organised, efficient, and positive work environment. Your contributions will be crucial in supporting both the operational team and office staff, enabling the business to operate efficiently and meet its objectives.
Responsibilitties
The responsibilities of this role will be diverse, combining key aspects of office management with operational support to ensure the smooth running of day-to-day activities. In this role you will:
- Oversee the maintenance and cleanliness of the office, ensuring that all facilities, including utilities and office equipment, are functioning properly.
- Manage day-to-day office operations, including coordinating meeting room bookings, managing office supplies, and ensuring the office environment is well-organised and welcoming.
- Receive IT-related requests, ensuring that they are addressed promptly and efficiently by the relevant service providers.
- Assist in the organisation of company events, webinars, and workshops, including booking venues, selecting providers, and ensuring all logistics are in place.
- Oversee the management of internal documentation and administrative tasks, ensuring that all records are kept accurate and up to date. Provide reports on operations as needed.
- Identify and manage relationships with external suppliers, negotiate budgets, and monitor the quality of services delivered to ensure they meet company standards.
- Coordinate the use of meeting rooms, ensuring resources are set up as needed and all bookings are efficiently managed.
- Greet visitors and provide them with access cards and relevant information, ensuring a smooth entry process into the office.
- Ensure compliance with health and safety regulations, maintaining a safe and clean work environment for all employees and visitors.
- Assist the operations team in planning, monitoring, and delivering the accelerator programme, including sourcing mentors, managing schedules, and supporting workshop delivery.
- Monitor office supplies and inventory, ensuring that the office remains well-stocked and that reordering is carried out when necessary.
- Provide training to personnel on company policies, ensuring adherence to the team handbook, cybersecurity standards, and other internal guidelines.
Skills, Qualifications and Experience
We are looking for a highly organised and proactive individual with a proven ability to manage operations efficiently and create a well-structured, dynamic work environment.
- Bachelor’s Degree (or equivalent) in Business Administration, Operations Management, or a related field.
- Proven experience in managing office operations, facilities, and day-to-day administrative tasks in a professional environment.
- Strong verbal and written communication skills
- Comfortable using office software (e.g., Microsoft Office) and IT tools for managing requests, scheduling, and event management.
- Proactive approach to resolving issues as they arise, with a focus on efficiency.
- High level of accuracy attention to detail, ensuring all office operations and tasks are handled correctly and efficiently.
- Ability to work independently, managing multiple projects simultaneously and ensuring deadlines are met.
- Knowledge of basic cybersecurity best practices and the ability to ensure staff adherence to security protocols.
- Strong interpersonal skills with the ability to create a welcoming environment for visitors and handle enquiries professionally.
